Setup a Branch

Branch setup is the process of registering all branches linked to an organization. eTIMS requires each branch to be individually registered to ensure that all transactions, updates, and communications are tracked at the branch level, maintaining accurate and organized data.

This makes branch setup essential for the smooth operation of the system, as it ensures the correct transactions are processed from the right branch.

The branch setup process follows these key steps:

  1. Organization registers branches
    The organization must log into its eTIMS portal and input relevant branch details.
  2. Providing branch information
    Details required during setup include:
    1. Branch location
    2. Contact information
    3. Branch Code
    4. Branch serial number

      For example, a branch in Nairobi might have a branch code of "01" and a serial number like "BR-NB12345."

  3. Branch code generation
    The branch code is a unique two-digit number automatically generated by eTIMS for each branch. It increments sequentially (e.g., "01," "02," "03"). This code becomes a key identifier and is included in every transaction payload for that branch, allowing eTIMS server to accurately associate transactions with the correct location.
  4. Fetching registered branches
    Once the organization has registered their branches, they can fetch these details, which will appear in the system (e.g., Slade360 Advantage platform), along with all the information entered during setup. The details are first tested and validated in the sandbox environment to ensure accuracy before going live.

Example Scenario

Suppose an organization with three branches, Nairobi, Mombasa, and Kisumu needs to register them with eTIMS system. The setup would look like this:

  1. Nairobi Branch
    Assigned branch code "01" and serial number "BR-NB12345"
  2. Mombasa Branch
    Assigned branch code "02" and serial number "BR-MB12346"
  3. Kisumu Branch
    Assigned branch code "03" and serial number "BR-KS12347"

When a transaction occurs at the Kisumu branch, Slade360 eTIMS would use the branch code "03" the same as eTIMS system in the transaction payload, ensuring that the transaction is correctly attributed to Kisumu.

The branch setup ensures that each branch’s transactions are accurately processed, making it an essential step for compliance and operational efficiency in eTIMS system.
