Introduction

This section outlines the requirements and process for setting up items in the eTIMS system.

Properly configuring items is essential for effective tracking and management of products and services throughout various transactions.

In the eTIMS system, an item refers to any product or service a business aims to sell or manage. Each item is uniquely identified by a code and contains key details, including its name, classification, type, packaging unit, units of measure, tax category, country of origin, and unit price.

Reporting items to the eTIMS system is essential for tracking transactions, managing inventory, and ensuring compliance with tax regulations within the eTIMS framework.

Items or products should be explicitly recorded with either of the following types:

eTIMS mandates that businesses register all products and services they intend to sell for tracking purposes. In the system, these products and services are called "items," and this terminology is consistently used in system development to avoid confusion.

Each item in eTIMS must have a unique code to identify it across all products. The code follows this format:

KE: Country of Origin (Kenya)

2: Product Type (Finished Product)

NT: Packaging Unit (NET)

BA: Quantity Unity (Barrel)

0000012: increments from 0000001 to N value

This unique code is generated by our intelligent system in accordance with KRA requirements and is used in all transactions involving sales, purchases, and inventory.

During item setup, the following details are required for each item:

Item NameThis is a string that specifies the name of the product or service. For example, “Bread.”
item_classificationThis is a general category that defines the industry the item belongs to. Sample classifications include furniture, ammunition, vegetables, etc.
Item TypeThis indicates whether the item is a raw material, finished product, or service. Proper classification is important, as it affects various transactions:

Services will not be tracked as part of the stock.

Differentiating between finished products and raw materials is crucial for the Bill of Materials, especially in manufacturing (discussed further in the BOM section).
Packaging UnitThis defines how the item is packaged. Examples include boxes, trays, bottles, etc.
Units of MeasureUnits of measure ensure consistency in measuring properties like length, mass, time, and volume. Common units include liters, kilograms, and items.
Tax CategoryThis is the tax category assigned to the product. The tax categories provided by KRA include VAT 16%, Exempt, Non-VAT, 0%, and 8% (currently inactive).

Correct mapping of the item is vital as it informs the taxes filed by the business at the end of the month.
CountryThis specifies the country of origin of the item.
Unit PriceThis is the selling price of the product.

When sending item(s) or product(s) to eTIMS, they must have a defined Cost, Product Type, Origin Country, Packaging Unit, Packaging Quantity and UNSPSC Code.
