Retrieving a sale refers to the process of accessing the details of a previously completed transaction.

This functionality allows businesses to view, verify, and manage historical sales records for compliance, reporting, or customer service purposes.

Steps to Retrieve a Sale in eTIMS

  1. Access the Search or Query Functionality
    Locate the Search Sales or View Transactions option within the Sales Management module.
  2. Input Search Criteria
    To retrieve a specific sale, provide relevant search parameters such as:
    1. Invoice Number
      Enter the unique invoice number associated with the sale.
    2. Customer Name or KRA PIN
      Search using the customer’s details to filter results.
    3. Sale Date Range
      Specify the date or date range when the sale occurred.
    4. Branch Code
      If applicable, narrow the search to a specific branch.
    5. Item or Service Details
      Input keywords related to the item or service sold for precise results.
  3. Retrieve and View Sale Details
    1. Once the search is executed, the system will display a list of matching sales.
    2. Select the desired transaction to view full details, including:
      1. Invoice Number
      2. Customer Information (name, contact, KRA PIN).
      3. Items/Services Sold (description, quantity, price).
      4. Tax Details (VAT, withholding tax, etc.).
      5. Payment Details (mode of payment, amount paid, balance if any).
      6. Branch Information (if applicable).
  4. Export or Print Sale Details (Optional)
    If needed, export the sales record in formats like PDF or Excel for reporting purposes.
    Print a copy of the invoice for physical records or customer requests.
